How Universal Dividend Group Pty Ltd handles personal information in Preflight.

The information we collect

Account information: your name and email address, and if you sign in with Google, Microsoft or LinkedIn, the basic profile details that provider shares (name, email, and profile image if available). We collect this through our sign-in provider, Clerk. Billing information: your plan, purchases and invoices. Card and payment details are collected and held by Stripe; we never receive your full card number. What you enter into Preflight: activity descriptions, answers, decisions, notes and the PIAs you create (your "content"). Preflight is designed for describing business activities, not for entering information about identifiable people. Please do not enter personal information about others unless you need to. Technical information: sign-in session data, request logs and security events (for example IP address, browser type and the time of a request), kept to operate and protect the service. We do not use analytics, advertising or tracking cookies, and we do not buy or sell personal information.

Why we collect it

We use personal information to: create and secure your account and sign you in provide Preflight, including saving your assessments and producing your PIAs process payments, keep billing records and apply promo codes respond to your requests, support questions and complaints maintain, secure and improve the service, including detecting misuse meet our legal obligations, for example tax and record-keeping We do not use your content to train any machine-learning model. Preflight's assessment engine runs on deterministic rules and does not send your content to any language model. If you do not provide your name and email address, we cannot create an account for you.

Who we disclose it to

We disclose personal information only to the service providers we use to run Preflight, and only as needed for them to provide their services to us: Clerk, Inc.: Sign-in and account identity (United States). Stripe Payments Australia Pty Ltd and its affiliates: Payments, invoices and subscriptions (Australia and the United States). Cloudflare, Inc.: Hosting, storage and security for the Preflight application and your content (Placed in the Oceania region where available; Cloudflare may process data in other countries to deliver and protect the service). We may also disclose information where the law requires or authorises it, or with your consent.

Overseas disclosure

Some of our providers are located, or hold information, outside Australia, in particular in the United States. Before disclosing personal information overseas we take reasonable steps, including through our contracts with these providers, to ensure it is handled consistently with the APPs.

Security and retention

Security: we use encryption in transit, access controls, signed and expiring sessions, and audit of sensitive operations. No system is completely secure, but we take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, change or disclosure. Retention: we keep your account and content while your account is open. Deletion: you can delete your account at any time. We then delete your content and account information within 30 days, except billing records, which we keep for 7 years to meet our tax obligations, and any information the law requires us to keep. Backups: backups expire within 35 days.

Access, correction and complaints

You can ask for access to, or correction of, the personal information we hold about you by emailing hello@meetpreflight.com. We will respond within 30 days. We do not charge for a request, and may charge only a reasonable amount for providing access. If you have a privacy complaint, please contact us first at hello@meetpreflight.com. We will acknowledge it within 7 days and aim to resolve it within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner at www.oaic.gov.au or on 1300 363 992.

Notifiable data breaches

If a data breach is likely to result in serious harm to you, we will notify you and the OAIC as the Privacy Act requires.

Changes to this policy

We will post any change on this page and update the date above. If a change materially affects how we handle your personal information, we will tell you by email before it takes effect.
